| he 2022 Annual General Meeting of the New Zealand Deerstalkers Association Bay of Plenty Branch Incorporated will be held on Tuesday the 5th of July 2022, starting at 730pm.
The venue for the AGM is the Branch Clubrooms at 617 State Highway 29A, Tauriko, Tauranga.
Nominations for Branch Committee and Officers
In accordance with Clause 15.7 of the Constitution “Each candidate for office on the Committee must be a Financial Member and, unless eligible for re-election under Rule 15.6, be proposed and seconded by Financial Members. Nominations of members to fill positions of President, Vice-President, and a member on the Committee, which shall be signed by the proposer and seconder, together with written acceptances thereof, shall be submitted to the Secretary not later than 7 days prior to the date of the AGM.”
Nominations for Branch Officers
Nominations for President and Vice-President should be submitted to the Secretary at secretary@deerstalkersbop.org.nz no later than Tuesday the 28th of June 2022.
Nominations for Committee
Nominations for the Committee should be submitted to the Secretary at secretary@deerstalkersbop.org.nz no later than Tuesday the 28th of June 2022.
In accordance with Clause 15.6 of the Constitution “All standing members of the Committee are eligible for re-election from year to year at the end of each year of office. Every standing Committee Member, unless they have signified to the Secretary the desire not to stand for re-election, is deemed to be duly nominated for re-election.”
Secretary and Treasurer Positions
In accordance with Clause 15.2 of the Constitution the Committee shall appoint the Secretary and Treasurer.
Due date for Motions
In accordance with Clause 9.3 of the Constitution “Any proposed notice of motion or remit by Members of the Committee must delivered to the Secretary 28 days before the meeting at which such motion is intended to be moved…”
The due date for Motions was the 7th of June 2022 which has now passed.

Motion to change Constitution
Motion to change the wording of Clause 28.2 of the Constitution to “If upon the winding up or dissolution of the Branch there remains, after the satisfaction of all liabilities, any property whatsoever, the same shall not be paid to or distributed among the members of the Branch but shall be given or transferred to another branch of the National Association or to the National Association for charitable purposes. If there are no other charitable branches of the National Association or the National Association does not exist, at that time, then surplus assets must be transferred to an organisation for charitable purposes similar to the purposes of the Branch, to be determined by a resolution passed by a majority of the members of the Branch present in person at the general meeting to be held according to these rules at or before the winding up or dissolution of the Branch.”
The background to this change is that the new Constitution adopted by the Branch at the 2021 AGM did not meet the requirements of the Charities Commission. In order to maintain the charitable status of the Branch, the Constitution must be updated to provide for the transfer of property to a “charitable branch” of the National Association or to the National Association “for charitable purposes” upon the dissolution of the Branch.
Remit to adopt a Branch Strategy
It is proposed that the Branch Committee adopt the Branch Strategy for the purpose of guiding the committee in its service to the Branch and its Members.
